The Business Operations Manager will contribute to shaping and implementing AHADI’s operational strategies, work closely with AHADI’s leadership, and work with AHADI’s employees and contractors, enabling our client-facing teams to build self-reliance in African health systems

We are looking for a Business Operations Manager with strong organizational skills, a keen curiosity, a proactive approach to solving problems, and excellent oral and written communication. Previous experiences with start-ups and remote teams are a plus

Responsibilities

The Business Operations Manager will design and run AHADI’s business administration operations to support our growing team. As a new organization, AHADI is shaping its foundational policies, strategies, and team culture. Successfulcandidates will therefore demonstrate a proven track record in taking initiative, with the ability and willingness to shape and implement business processes from the ground up. The Business Operations Manager should be comfortable navigating ambiguity, taking ownership of their work, and adapting flexibly to business needs

Primary responsibilities include:

  • Infrastructure and strategic operations: Develops and implements scalable operational policies and procedures that align with AHADI’s strategic priorities, in a diverse and globally distributed workforce
  • Process improvement: Monitors and reports on effectiveness of business operations, identifying and recommending improvements to AHADI leadership; communicates across the organization to understand organizational needs and seeks strategies to improve structures and efficiencies
  • Finance and reporting: Supports leadership in preparing and submitting required reports for budgets, expenses, financial compliance, and other business-related areas
  • Risk and compliance: Monitors compliance with organizational policies and donor requirements
  • Contractor management: Hires and manages relationships with contractors
  • Administrative support: Manages and coordinates office operations in global geographies

Other responsibilities may include:

  • People management: Hires and manages a growing team of business operations professionals (HR manager, IT contractors, etc.)
  • Human resource administration: Provides support to an HR manager in recruiting, onboarding, etc. as needed; supports HR manager with monitoring compliance with local labor and employment laws.
  • Other job duties as assigned.

Minimum Qualifications

  • Bachelor’s degree in Business Administration, Human Resources, or other comparable field; or equivalent professional experience
  • At least 5+ years of relevant work experience in business administration and human resources, preferably in a startup or nonprofit environment and/or geographically diverse organization
  • Experience working with or supporting teams in Africa
  • Experience running the contracting process and managing contractors that support geographically diverse regions, including but not limited to: identifying the need, sourcing contractors, drafting scopes of work, assessing and selecting the contractors, and managing their onboarding, delivery/performance, and payments
  • Have work authorization in Kenya

Preferred Qualifications

  • MA in business administration, MSc in operations management, MBA, or other master’s degree in a relevant field
  • Project Management certifications (PMP, etc.)
  • Experience managing teams of 2+ people
  • Experience in drafting and/or implementing business and administrative policies (e.g., procurement, expense reporting) in a new organization that accommodates diverse regional needs
  • Experience in setting up and managing remote administrative systems, ensuring team members have the resources they need regardless of location(e.g., digital document storage, remote tech support)
  • Experience working with or for NGOs, nonprofits, and/or multi-laterals focused on public and/or global health

Minimum Competencies

  • Professional proficiency in English
  • Proficiency with standard office platforms (Google Suite, Microsoft Office, Dropbox, etc.) as well as digital collaboration tools (Zoom, etc.)
  • Ability to design, develop, implement, and scale processes and infrastructure
  • Strong written and verbal communications skills
  • Ability to work independently and take initiative
  • Ability to work productively as part of a team
  • Ability to effectively deliver outputs, collaborate with and manage team members in a remote, distributed working environment
  • Ability to work occasional extended hours to meet a deadline

Preferred Competencies

  • Professional proficiency in French
  • Proficiency with financial systems, HRIS platforms, and/or procurement tools
  • Ability to analyze and improve operational processes for efficiency, such as identifying automation opportunities for repetitive tasks
